Service three

Hand the boring work to software. Keep the judgment.

Not a chatbot. Not a strategy deck. Specific, repetitive tasks your people do every day — quote follow-ups, invoice chasing, retyping the same job into a second system — moved off their desks and measured in hours returned.

It starts with a half day watching how you work.

The ops audit is a fixed-price engagement: we walk your process end to end, sit with the people doing the work, and write down every task worth automating — ranked by hours saved, cost to build, and risk if it goes wrong.

You keep that list whether or not you hire us to build any of it. Most businesses find that two or three workflows account for the majority of the available savings, and the rest isn't worth touching.

  • Half day on site, plus interviews with the people doing the work
  • Written inventory of every repetitive task, with hours attached
  • Ranked build plan with fixed prices per workflow
  • What we recommend not automating, and why
  • $1,500, credited toward the first workflow we build

The workflows that pay for themselves fastest.

Getting the work

  • Every lead in one place. Calls, texts, web forms, and Facebook messages land in a single list, tagged and assigned, so nothing dies in a voicemail box.
  • Quote follow-up that runs itself. A sequence that keeps politely checking in until the customer answers or the quote expires. This is usually the single highest-return automation we build.
  • After-hours intake. The 9pm emergency call gets answered, triaged, and put in front of you at 6am instead of going to voicemail.
  • Review requests. Automatically asked at the right moment after a job closes, which is the only moment they work.

Doing and closing the work

  • No more double entry. Job information flows between your field system, your accounting, and your CRM instead of being retyped by a person.
  • Reports written from what already exists. Crew photos, voice memos, and checklist entries turned into a clean daily report or customer summary.
  • Invoice reminders and aging. Automatic, escalating, and polite, so collections isn't a task somebody has to remember on Friday.
  • Document assembly. Permit packages, submittals, and closeout binders built from files you already have.

Estimate your automation in two minutes.

Pick what's eating your team's time. This gives you a real range — the same math we use — not a lead-capture gimmick. No email required to see the number.

Which of these happen at your business?

Office and admin staff, not field crews.

Wage plus taxes and benefits. $30–45 is typical for admin.

Rough is fine.

How we price it, and what we promise.

Ops audit

$1,500

Fixed. Credited toward the first workflow. You keep the findings either way.

Per workflow

$2,000 – $8,000

Fixed price per automation, quoted from the audit. Built and live in two to three weeks each.

Managed

$300 – $1,200 / month

Hosting, monitoring, model costs, and fixes. Automations break quietly — this is the part that catches it.

We agree on the measurement before we build

Every workflow has a number attached: hours returned per month, or leads recovered, or days of receivables. We write it down before the build and we report against it after. If a workflow doesn't hit its number, we fix it or we turn it off — you shouldn't pay a monthly fee for automation that isn't working.

Common questions.

Is this going to replace my staff?

That's not usually what happens, and it's not how we pitch it. What we see is the same people handling more jobs without hiring, and spending their day on customers instead of data entry. If your goal is headcount reduction, say so up front so we scope honestly toward it.

What if the AI makes a mistake?

We design for that. Anything that touches money, contracts, or a customer commitment gets a human approval step. AI drafts, a person approves. The fully automatic pieces are the low-risk ones — sorting, tagging, reminding, summarizing.

Where does my data go?

Into your accounts, on infrastructure we set up in your name. We'll tell you exactly which services touch your data and what each one retains. If you have customers who require it, we can keep everything in providers with no-training and no-retention terms.

Do I have to change the software I already use?

No. Automation works around your existing tools — QuickBooks, ServiceTitan, Procore, Jobber, whatever you have. Ripping out a system your team knows is usually the most expensive possible answer.

Why not just use Zapier myself?

For something simple, you should. Genuinely. Where we earn our fee is the workflows with judgment in them — reading a message and deciding what it is, pulling numbers out of a photographed invoice, writing a follow-up that sounds like your business — and in the fact that somebody is monitoring it at 2am when it silently stops running.

What's the smallest thing you'd take on?

A single workflow at around $2,000. Plenty of clients start with just quote follow-up, watch it recover two jobs, and come back for the rest.

Half a day, $1,500, credited toward whatever we build. You'll end up with a ranked list of what's worth automating — and an honest answer about what isn't.
